How To Whiteboard Collab In Zoom

The different ways you can use Whiteboard Collab in a Zoom meeting

There are a couple of different ways to use Whiteboard Collab with Zoom. All of them are easy to do, but the specific steps depend on whether or not you want someone to collaborate with you.

If you just want to show everyone in the meeting what you are drawing, then you can skip this paragraph. But, if you want someone to collaborate with you, you will need a license. Click here to buy a license. If you already have a license, click here to login.

Now that you have a whiteboard room setup, what do you want to do?

Show Everyone What I'm Drawing


These steps will let everyone in the meeting see what you are drawing in the whiteboard room, but won't let anyone collaborate with you.

1) Go back to the Zoom meeting and move your mouse over the meeting window. You should see a "Share Screen" button at the bottom.

2) Click on the "Share Screen" button. This should pop up a window that allows you to pick the window you want to share. Make sure the "Basic" setting is clicked at the top of the screen.

3) Find window that says "Whiteboard Collaboration Room" or "Offline Whiteboard Room" and click that window.

4) Click the "Share" button at the bottom of the window.

You should now be directed back to the whiteboard room and everyone in the meeting can see your screen!

Show Everyone What I'm Drawing And Allow A Few To Collaborate With Me


These steps will let everyone in the meeting see what you are drawing in the whiteboard room, and will allow a few people to collaborate with you.

1) Go to the whiteboard room you created earlier and click on the "Share" button at the bottom of the screen. This will copy the room URL so you can paste it in a later step.

2) Go back to the Zoom meeting and move your mouse over the meeting window. You should see a "Chat" button at the bottom.

3) Click on the "Chat" button. This should pop up a window that allows you to chat with people in the Zoom meeting.

4) Click on the people selector and choose who you want to collaborate with you. Don't leave it selected on "Everyone" or everyone in the meeting will be able to collaborate with you.

5) Paste the room URL in the message box and send the whiteboard room to the selected person. They can then click the whiteboard room URL and will be able to see what you are drawing and can collaborate. Do this for every person you want to collaborate with you in the whiteboard room.

6) Move your mouse back over the Zoom meeting window. You should see a "Share Screen" button at the bottom.

7) Click on the "Share Screen" button. This should pop up a window that allows you to pick the window you want to share. Make sure the "Basic" setting is clicked at the top of the screen.

8) Find window that says "Whiteboard Collaboration Room" and click that window.

9) Click the "Share" button at the bottom of the window.

You should now be directed back to the whiteboard room. Everyone can now see what you are drawing, and only the people you chose can collaborate with you!

These steps will let everyone in the meeting collaborate with you in the whiteboard room.

1) Go to the whiteboard room you created earlier and click on the "Share" button at the bottom of the screen. This will copy the room URL so you can paste it in a later step.

2) Go back to the Zoom meeting and move your mouse over the meeting window. You should see a "Chat" button at the bottom.

3) Click on the "Chat" button. This should pop up a window that allows you to chat with people in the Zoom meeting.

4) Select "Everyone" in the people selector.

5) Paste the room URL in the message box and send the whiteboard room to everyone. They can then click the whiteboard room URL and will be able to see what you are drawing and can collaborate.

6) Go back to the whiteboard room you created earlier. Everyone can now see what you are drawing and can collaborate with you!
